Job Description:

We are looking for a reliable Remote Facilities Support Specialist to support the day-to-day coordination of workplace operations and employee resources. In this role, you will assist with coordination, facility requests, vendor communication, inventory tracking, and administrative support to help maintain efficient business operations for remote employees.

Key Responsibilities

  1. Respond to employee requests related to workplace resources and office equipment.
  2. Coordinate service requests and scheduled maintenance with approved vendors.
  3. Maintain accurate records of company equipment, inventory, and workplace assets.
  4. Coordinate the shipment and return of office equipment for remote employees.
  5. Update and maintain facilities records, documentation, and service logs.
  6. Communicate with vendors regarding deliveries, scheduled services, and general support.
  7. Process purchase requests, invoices, and facilities-related documentation.
  8. Support new employee onboarding by coordinating workplace equipment and resources.
  9. Track open service requests and provide timely updates to employees and internal teams.
  10. Prepare reports related to inventory, equipment, and workplace operations.
  11. Assist with workplace compliance initiatives and operational procedures.
  12. Collaborate with Human Resources, Information Technology, Finance, and Operations to support daily business activities.
  13. Recommend process improvements that enhance efficiency and service quality.

Qualifications

  1. High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Facilities Management, Operations, or a related field preferred.
  2. 1–3 years of experience in facilities support, office administration, operations support, or administrative services.
  3. Excellent organizational and time management skills.
  4. Strong written and verbal communication abilities.
  5. Proficiency with Microsoft Office 365, Google Workspace, and standard business software.
  6. Experience with asset management, inventory systems, or workplace management software is preferred.
  7. Strong attention to detail and ability to manage multiple priorities.
  8. Ability to work independently in a remote environment while collaborating effectively with cross-functional teams.

Preferred Qualifications

  1. Experience supporting remote or hybrid work environments.
  2. Knowledge of workplace operations, inventory management, procurement, or logistics.
  3. Familiarity with vendor coordination and office resource management.
  4. Experience coordinating equipment distribution for remote employees.
